Pull a visit history export from your booking system for the last couple of years. We tell you exactly which columns to include and which to leave out before you touch the export button, so nothing sensitive travels in the first place. Most owners do it in one sitting, and if the export screen is confusing we send you the click path.

The cycle, then the drift

We learn the real return rhythm of each service in your own data rather than assuming an industry number, then sort your clients by how far past their cycle they have gone. Recently lapsed, long gone, and never on a rhythm at all are three different lists, and they do not get the same message.

We run it

A win-back a person signs off

Text and email in your practice's voice, sequenced by how far each client has drifted, with a person reading and approving every message before it goes. Replies come back to your inbox and your phone, not to us. You get one plain summary of who was reached and who came back.

Nothing sends on autopilot. You see the message list before the first one leaves, and anything that reads wrong for your practice gets rewritten or dropped.

What matters is when a visit happened and what it was for, plus a client reference number so you can match a row back to a person on your side. Names are optional. That is the whole file.

  • Leave out: addresses, dates of birth, payment details, clinical notes, photos

No system access

We do not ask for booking logins, charting access, or a connection to your payment processor. You are handing over a de-identified copy of one report, not keys. It stays in your control and it is deleted at the end of the engagement.

Your voice, once

A few minutes telling us how your front desk actually talks to clients, and one contact who can approve the message list. After that the time on your side is reading replies from people who booked again.

If your booking platform cannot export cleanly, tell us which one you run on the form and we will say honestly whether its export is usable before you spend an evening on it.

What client data do you actually need, and what happens to it?
A de-identified export. Visit dates and service types are what the work runs on, plus a client reference number so you can match a row back to a person on your side. Names are optional and nothing clinical is wanted: no addresses, no dates of birth, no payment details, no notes, no photos. We send you the exact column list to include and the column list to leave out before you export, so the sensitive fields never travel at all. The file lives in one place, we never log in to your systems, and it is deleted at the end of the engagement. If your counsel wants that in writing, we sign it.
Why does my booking system not already do this?
Because a reminder is for someone who already booked. That is the whole design. Platforms remind booked visits, and nobody watches the unbooked. The client who slipped a cycle generates no event in the software: no cancellation, no complaint, no flag. She just stops appearing, and the calendar looks fine because the gaps fill with someone else.
Does a machine message my clients?
No. A person reads and approves every message before it sends. The sequencing and the sorting are automated because a human cannot hold two thousand return cycles in their head, but the words that reach a client have been read by someone first. Nothing goes out on autopilot, and you see the list before the first one leaves.
Will this annoy clients who moved on?
A win-back that reads like a mass blast will, which is why we do not send one. Someone eight weeks past a treatment cycle and someone who has not been in for two years get different messages, sent at different times, and anyone who asks to be left alone is removed and stays removed. If a list looks like it will do more harm than good, we say so and drop it rather than send it.
Do you need access to our booking or charting system?
No. We work from the export you download and send. No logins, no integration, no connection to your charting system or your processor. If a message has to go from inside your own platform, we hand you the wording and your front desk sends it.
How long before we see anything?
Reading the history and building the lists takes days, not weeks, once the export is in hand. Outreach then runs on a schedule rather than all at once, because a practice that suddenly rebooks a hundred people cannot staff them. We pace it to what your chairs can hold, and we tell you what is still pending rather than counting it as a win.
